What we collect

Contact details you give us: your name, phone number, email address and any message you send.

Vehicle details: registration, make, model, mileage and any information we look up from the DVLA and DVSA, such as MOT history.

Booking, job, invoice and payment records. Card payments are handled by Stripe, and we never see or store your full card number.

If you create an account: your login email and an encrypted password, which we can't read.

Why we use it

To quote for, book in, carry out and invoice work on your vehicle (performing a contract with you).

To keep service and job records, and to meet our accounting and tax obligations (legal obligation).

To manage enquiries and jobs in our customer relationship system, Zoho CRM (legitimate interests).

We only send marketing if you've asked us to, and you can opt out at any time.

Who we share it with

Service providers who process data for us: website hosting (Vercel), our database (Neon), card payments (Stripe), our online shop (Shopify), our CRM (Zoho) and our website chat assistant. Each one processes data only on our instructions.

The DVLA and DVSA, when we look up a vehicle by its registration.

We never sell your personal data.

How long we keep it

We keep job and invoice records for six years to meet HMRC requirements. If an enquiry doesn't turn into work, we delete it after two years. You can ask us to close your account at any time.

Your rights

You can ask for a copy of your data, or ask us to correct it, delete it, restrict its use or object to how we use it. Email madhousemotors@outlook.com and we'll respond within one month.

If you're unhappy with how we've handled your data, you can complain to the Information Commissioner's Office at ico.org.uk.
